Monthly Rent Collection Spreadsheet Template: Free XLSX and CSV in 2026

Rental keys beside orderly office paperwork

The short answer

A monthly rent collection spreadsheet template should show what was charged, what was received and what remains open. Use the downloadable ledger as a rent record, not a payment processor. It keeps refunds and corrections visible and separates the rent period from the date money reaches the bank.

What's covered5

Enter one ledger row for each rent charge or adjustment. Record receipts as positive amounts and refunds as negative amounts in the received column. The balance equals the opening balance plus charges minus receipts. Keep a payment reference and a bank-match status. Blank cells mean not entered; they do not prove that nothing is owed.

Monthly rent collection spreadsheet template: files

Download the Excel ledger or the blank CSV. Both are public and ungated. The workbook has instructions, a blank ledger and a worked example. The CSV contains headings only; formulas do not travel with CSV files.

Use an internal tenancy ID instead of a full name if you share the sheet. Do not enter bank account details or screening information. Keep the file in storage with access limited to the person checking rent. A public link to your filled ledger is not a safe way to share it.

Enter a charge without hiding an old balance

Bring the last checked balance into the opening column. Add the new rent charge. When money arrives, enter it in received and keep the reference. The closing balance should still show any unpaid amount. Do not overwrite the original charge with the amount paid.

The blank workbook leaves output cells empty until all three amount inputs exist. Enter an explicit zero only after checking that it is the right amount. This avoids treating a missing opening balance as a proven zero. Fill the row from your lease and records, not from the example amounts.

Keep refunds and credits distinct

A refund sends money back; a credit reduces a charge. Record them in the correct column with a reason. A negative receipt increases the amount still open unless another charge or credit changes it. Check the result against the facts before carrying the balance to the next row.

The workbook does not decide how a disputed charge should resolve. Use a comment to mark it and keep the related message elsewhere. Do not enter a credit merely to make a bank match pass. A matched deposit and a correct tenant balance are different checks.

Use a new row for the next period

Carry forward only the closing balance you have checked. Keep each tenancy apart when you sort. A shared sheet can hold rows for more than one tenant. That is why the workbook does not pull a balance from the row above. A row for another unit must never set this tenant's opening balance.

Check the workbook against the bank

The balance starts with the amount brought forward. Add charges, then take away receipts to find the closing amount. We worked through a sample charge, a part payment and a refund. Those made-up figures show the math; they are not rents or fees we suggest you charge. Formula cells show the result, and you can edit the input cells.

Match receipts to the provider's payout detail and the bank statement. A net batch payout can include several tenants and fees. Keep that detail outside the sheet so each ledger receipt has a traceable bank path. The rent collection guide explains why processing and settled funds differ.

For tax records, the IRS rental property guide, checked October 15, 2026, separates rent from refundable deposits. This workbook tracks rent; keep deposit records separately. It is not a tax return or a trust-account ledger.

Frequently asked questions

Can I open the workbook in Google Sheets?

You can import an XLSX file into Sheets, but check the formulas and dates after import. We verified the source workbook, not every spreadsheet program's import. Keep the original copy. If you use the CSV, rebuild the balance formula because CSV stores values and headings rather than workbook formulas.

Why are some balances blank?

The workbook waits for the opening balance, charge and received amount. An empty input is unknown, not zero. Enter zero only when you have checked it. Once the three inputs are present, the formula shows the balance. That helps prevent an unfinished row from looking like a settled account.

Does the workbook collect rent?

No. It records charges and receipts. You still need an allowed payment route and a process for checking status. Keep the provider reference beside the entry, then match it to the bank. The sheet does not send a debit, process a card or notify a tenant of a balance.

It can help you check the figures, but it is not a notice form. Verify each charge and payment before using a balance in a message. Formal notices depend on local wording and service rules. The rent letter page keeps ordinary reminders separate from those notices.

Verdict on the monthly rent collection spreadsheet template

Use the monthly rent collection spreadsheet template to keep a small rent ledger readable and traceable. Check the opening balance before each period, retain the payment reference and match the bank. Move to software when shared access or transaction volume makes manual entry too hard to keep current.
