What's covered6
Set lawful criteria before reviewing forms. Confirm the report package and fee. Follow the provider's purpose and consent steps, then its identity check. Check the report for a possible mismatch or error. Record the reason for the rental decision and review any notice duty. Store only task IDs here; keep personal data and reports out of the checklist.
Tenant screening checklist: prepare the process
Write the criteria before reviewing a person. Keep the version and date. The criteria need a lawful basis and must fit the property rules. A default score in software is not a reason to adopt it. Check what the score measures before deciding whether it belongs in the process.
Use the checkbox to record that you completed the criteria task. Keep the actual policy elsewhere. Do not paste private application facts into a task label. If the policy changes, record which version applied to each decision so later review does not mix two different processes.
Confirm scope and cost
Record the exact provider and package. A basic check can differ from a full credit and background package. Check the fee and payer before anyone starts. Read local rules as well as the provider's options. A renter-pay button does not establish that the charge is allowed everywhere.
If the package changes during setup, revisit the task. Do not leave the scope box selected from an earlier quote. The finished report should match what the person was told. Keep an explanation if another lawful check becomes necessary later.
Confirm housing purpose
Follow the provider's requirements for the actual product. The FCRA uses a permitted-purpose rule for consumer reports. A housing report should stay tied to the rental task. Access to a report does not authorize unrelated use or broad sharing.
Use the correct consent and identity route. Some products require the person to release their own data. Others may use a different process. Do not copy a workflow from another vendor without checking it. The task is done when the correct steps for the selected product are complete.

Tenant screening checklist: review the facts
Check the name and other matching details through the provider's secure route. Read the report date and package. A partial report is not the same as a completed set. Keep missing or pending items visible instead of treating them as a clean result.
For a possible match, inspect what the report actually says. A court filing does not itself prove the outcome. A similar name is not enough to establish that the record belongs to the person. Mark the review open until the needed fact is checked.
Coverage and missing data
Read the provider's coverage limits for the selected report. A nationwide label does not mean every record is returned from every place. Local restrictions can affect what is available. Do not convert “not returned” into “never happened,” or the reverse.
Keep the limitation with the report review. If you need another check, confirm its purpose and process before ordering. Do not add unrelated searches merely because a broad package menu offers them. Each item should have a relevant, lawful reason.
Application and reference facts
Verify relevant facts consistently, using permission and known contact routes where needed. Ask narrow questions tied to the rental criteria. A reference's silence is not automatically a negative fact. Record what was and was not confirmed.
If alternative documentation is appropriate, keep the same review goal. A person with non-payroll income may need a different document route from an employee. Do not treat one missing online record as proof that the income is false. The employment check guide explains that task.
Possible report errors
Identify the specific item and the reporting firm. Give the person the correct dispute route. Keep the original report and the review status under your secure record process. Do not imply that changing a note in your account corrects the firm's file.
The task can remain open while a fact is checked. Do not select the error-review box merely because an email was sent. Record the result or the unresolved point in the proper private file. The checklist should make unfinished work visible rather than hide it.

Decision and notice tasks
Apply the lawful criteria to the checked facts. Record the actual reason for the result. A score or provider recommendation can inform the review, but it does not make the decision for you. Keep responsibility clear when several people share the work.
If a consumer report contributes to a denial or worse terms, review the adverse-action duty. The report does not need to be the sole reason. Extra disclosures can apply when a credit score is used. Check the current official requirements and local additions for the actual case.
Keep the sent notice
Retain what was actually sent and when. A blank template or saved draft does not prove the notice used the correct reporting firm or reached the intended person. Check the details before sending through your proper route.
Keep the report supplier's correction process distinct from the landlord's reasons. The supplier did not make your rental choice. Do not send someone to it for an explanation only the landlord can give. The notice and decision record should make that boundary clear.
Protect and dispose of records
Limit access to people who need the report for the lawful task. Do not put it in a rent spreadsheet or general maintenance folder. Keep a documented retention process that accounts for applicable duties. When the lawful need ends, follow secure disposal rules.
Check downloaded and shared copies too. Removing a visible portal record may not remove a local PDF. The checklist stores only task IDs, so it is not a place to retain the report itself. Keep the private file under the controls it needs.
Print and local progress
Use the blank PDF for paper. The on-page controls can print the current selection or a blank copy. Selected task IDs stay in this browser. Reset clears that progress. Nothing asks for a tenant name or sends a screening form to this site.
The progress count is not a pass/fail score. A task may be irrelevant to a specific case, or it may need another review later. Keep the reason in your own process record. Do not infer a legal outcome from the number of selected boxes.
Review each task separately before marking a group complete. A checked package does not prove consent occurred, and consent does not prove that the report matches the person. Each box represents its own work and evidence.
Keep a dated process copy
The PDF and HTML checklist use the same task source, version October 15, 2026. Keep the version with your own record if you use it to organize a review. Recheck current official sources before relying on a legal duty. A static checklist cannot track every local change automatically.
For a new provider or report package, start a fresh check of the relevant tasks. An old selected box does not prove a new product uses the same consent route. Clear the progress or use a blank copy. Carry forward the process knowledge, not an unsupported completed status.
Frequently asked questions
Does a full progress count mean compliance?
No. It shows which tasks you selected in this browser. The underlying facts and current law determine the duties. Keep evidence for completed work and check local additions. A selected box does not validate criteria, fix a report error or prove that a notice was correctly prepared and sent.
Can I put tenant details in the checklist?
The tool does not request them. Keep private forms and reports in your own secure records. Only selected task IDs stay locally in the browser. Use an internal reference in your private process file if needed. Do not send identity, credit or bank information to this comparison site.
Should I select a task while waiting for a reply?
Keep the task open if the result is still needed. Sending a request is not the same as verifying the fact. Record the next action and check date in your own process. A progress tool is useful when it shows unfinished work rather than making a pending item look complete.
How should I use the checklist for another provider?
Recheck package, consent and identity steps for that product. Do not assume the previous firm's workflow carries across. Read the new report's coverage and correction route too. Reset the local progress or print a fresh copy so a selected task from the earlier review does not imply a new check occurred.
Verdict on a tenant screening checklist
Use a tenant screening checklist to keep facts and open tasks visible. Retain the real evidence elsewhere, with limited access. Record the rental decision and required notices under the correct process. The screening guide links the checklist to the wider workflow and provider evaluations.
